Communication agencies
Business software for communication and marketing agencies, from brief to payment
YVY is business software for communication, marketing and web agencies. It keeps on one thread the quote and its versions, the project opened by the order, the hours and margin of every job, the recurring fees that renew, the e-invoice and the payment. It was born inside Aldeia, an Italian agency that built it for its own use.
An agency sells time, ideas and continuity: a website, a campaign, twelve months of social media. With a CRM, a project tool, an invoicing program and a spreadsheet for fees, the data gets stitched back together by hand every month. In YVY each step takes what is already there.
From brief to payment, in YVY
The client
Type the VAT number: company name, certified email and recipient code come from the Italian business register or VIES.
The quote
Lines from the catalog, two versions side by side, a PDF with cover and service sheets, sent to the client from the record.
The project
On order, the service's template becomes the project on the canvas, with nodes assigned to people or to AI agents.
Hours and margin
Hours by rate, external collaborators and supplier bills assigned to the job: you see its margin while you work.
The recurring fee
Social media, hosting, maintenance: the fee is born from the order and the renewal invoice is prepared as a draft.
Invoice and payment
The invoice is born from the order and goes to the SDI; the bank statement is matched to invoices in the daybook.
What does an agency find in YVY?
| The agency's work | In YVY |
|---|---|
| Alternative proposals to the client | Versions of the same quote, side by side, each with its PDF |
| Work that starts on signature or down payment | The order rule: on confirmation, on invoice issue or on receipt of the down payment, or by hand |
| Freelancers and external collaborators | A portal for externals, with only the shared projects and the work assigned to them |
| The client asking for changes | A conversation in every record, with internal and external channels; the Helpdesk with queues and SLAs, and the ticket recalled in the project |
| Recurring fees and renewals | Subscriptions with due dates, renewal invoice, plan change and add-ons |
| Who sees margins | Roles and permissions down to the single field, such as costs and margins |
| AI at work | Your chatbot (Claude, GPT or another) via MCP with your permissions, the in-app assistant under the name you give it, AI agents assigned to nodes like colleagues |
What does it not do yet?
- Reports for clients. The reports portal is on the way.
- Custom fields on records. On the way.
- Legal archiving of invoices. YVY keeps XML files and receipts; archiving is done with the provider you choose.
How do you start?
With your history inside, not with empty software. We import quotes, invoices, projects and contacts for you from almost any system, and the old system stays on until switch-over day. Then we draw YVY on the services you sell. The path is in How we work.
Frequently asked questions
Does YVY work for a web agency?
Yes. Projects on the canvas, client tickets recalled in projects, hosting and maintenance fees that renew: that is a web agency's daily work.
Do freelancers see my numbers?
No. From the externals portal they only see the projects shared with them and the work assigned to them. Costs and margins are visible only to those with permission.
How is a job's margin calculated?
Sold value minus the job's costs: people's hours at their hourly cost, external collaborators, suppliers.
Can I bring my history in?
Yes, we do it for you: quotes, invoices, payments, projects and contacts, with numbering that carries on. See Data import.
How is it different from a CRM?
A CRM follows the sale up to the signature. YVY also follows what comes after: project, hours, invoice, payment.
